This policy was last updated on 21 October 2026. It explains how we collect and use your personal information, including through cookies on our website, in line with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018 and the Privacy and Electronic Communications Regulations (PECR).
If we change this policy, we will post the changes on this page and update the date above.
We are the "data controller" for the personal information we collect, which means we decide how and why it is used.
If you have any questions about this privacy policy, you may contact our DPO and IT Director, Martin Golan, at info@ldnchauffeur.co.uk

What information do we collect?
We collect information from you when you place an order, fill out a form or make a payment.
When you contact us by phone, we may record your call for training and quality control purposes.
When contacting us through this site, you may be asked to enter your name, email address or phone number as appropriate. You may, however, visit our site anonymously.
To place orders online, we require you to use our booking engine. We implement a variety of security measures to keep your personal information safe when you place an order:
- Our booking site is a secure server. All sensitive and credit card information is transmitted via Secure Socket Layer (SSL) technology. It is then encrypted into our payment gateway provider's database, which is only accessible to those authorised with special access rights to such systems, who are required to keep the information confidential.
- After a transaction, sensitive private information (such as financial details) will not be stored on our servers.
What do we use your information for?
Any of the information we collect from you may be used to:
- Improve customer service. Your information helps us respond more effectively to your customer service requests and support needs.
- Process transactions.
- Administer a contest, promotion, survey or other site feature.
- Send periodic emails. The email address you provide for order processing may be used to send you information and updates about your order. These updates may occasionally include company news, updates, and related product or service information.
Lawful basis for processing your personal data
Processing is necessary for the performance of a contract to which you are party, or to take steps at your request before entering into a contract.
If customers do not provide the information required to process transactions, we will be unable to provide a service to the customer.
Where we use analytics and marketing cookies, our lawful basis is your consent, which you can withdraw at any time (see "Do we use cookies?" below).

Retention policy
LDNChauffeur does not keep data for which we have no contractual obligation for longer than 30 days. Depending on how sensitive the data is, it may be deleted immediately. Our levels of sensitivity are set out below, along with the exceptions where data may lawfully be held for longer.
Where personal data is held LDNChauffeur holds personal data in a few different locations, which can include our own database servers, email accounts, desktops, employee-owned devices, paper files and backup storage.
Procedures for deletion Account-related data processed via our two database servers is subject to a 90-day non-usage review of the account, followed by a 6-month review before any personal data is erased or separated. On request from the authorised account holder, data will be deleted from both database servers within 30 days, followed by a privacy notification confirming the deletion. You can request this by contacting the DPO at LDNChauffeur on 020 3588 7000 or at info@ldnchauffeur.co.uk
Data processed via email is subject to the Apple software's built-in retention policy, which includes deleting unfiled mail after 30 days.
Employees and mobile users, including sub-processors who process data on our behalf, are subject to a systematic 30-day deletion policy after a contractual obligation is completed. This is done through our Dever Software, which is installed on mobile devices. All our mobile devices are encrypted and set to delete all information after multiple failed password attempts.
Exceptions where data may be held for longer than 30 days Financial data stored on our accounts server or held as hard copies is kept for up to 7 years before disposal, as required for tax and VAT purposes.
Levels of sensitivity and retention periods
- High – Financial data. Any financial data we store or process for or on behalf of our clients is immediately tokenised or masked, including card number, expiry date and CVV/CVV2. If data is processed as a one-off request, it is deleted immediately after processing unless contractual consent is given.
- Medium – Account data. This may include personal details and the goods or services provided, and is reviewed regularly to maintain account records. It allows us to fulfil our contracts with clients and can include the client's name, address and contact details. On request from the authorised account holder, this data can be deleted from our systems within 30 days.
We do not use profiling or automated decision-making.
Your rights as a data subject
We have a clear process for handling customer queries and subject access requests. This includes your right to withdraw consent to any processing of your personal data and to have your personal data removed. You can make a request by email or phone to the DPO at LDNChauffeur on 020 3588 7000 or at info@ldnchauffeur.co.uk
We use our customer query process to monitor our service, our data partners and our processes. We look into the cause of every enquiry, so we can tell whether further action is needed.
The authorised account holder can also ask us to restrict the processing of their personal data.
You have the right to lodge a complaint with a supervisory authority about how your information has been handled. Please contact the Information Commissioner's Office (ICO): https://ico.org.uk/concerns/handling/
Client account data is stored in SQL tablespaces and data files, which can be exported to a Microsoft Excel spreadsheet or an Adobe PDF and encrypted with a password before being sent electronically. Clients with web access to our online booking platform can view and update their account details at any time. This is secured using Secure Socket Layer (SSL).
