5. MAKING A BOOKING
By placing a booking through our website, email, phone, WhatsApp or affiliate portal, you confirm that:
- you are at least 18 years old
- you have authority to make the booking
- all information provided is accurate
- you agree to be bound by these Terms
- LDNChauffeur Worldwide is the PH operator and contractual provider in the UK
Drivers are not permitted by law to accept bookings directly.
Only LDNChauffeur Worldwide may accept and cancel bookings.
A booking is not confirmed until:
- you receive written confirmation, and
- LDN accepts the reservation in writing.
6. PAYMENTS, PRICING & DEPOSITS
6.1 Accepted Payment Methods
- Major credit and debit cards
- Bank transfers (BACS, SEPA, SWIFT)
- Payments in GBP/EUR/USD/AED and others by prior agreement
6.2 Card Fees
Worldwide card transactions incur a 3% processing fee.
6.3 VAT
- UK prices: include 20% VAT when quoted online
- EU/GCC VAT: charged at local rates
- VAT is charged where the service is physically delivered
6.4 Pre-Authorisation
All bookings require a valid pre-authorised card.
LDN reserves the right to fully charge the card before service.
6.5 Additional Charges
LDN may charge your stored card for:
- waiting time
- extra hours
- parking fees
- tolls, ferries, tunnels, congestion charges
- additional stops
- changed or incorrect addresses
- deviations from booked routes
6.6 Vehicle Substitution
If the booked vehicle becomes unavailable, LDN may supply a higher category vehicle and charge accordingly.
7. WAITING TIME, PARKING & TOLLS
7.1 Airports
- Commercial airports: 60 minutes free waiting + parking
- Private terminals: 15 minutes free
7.2 All Other Locations
15 minutes free grace period.
7.3 Waiting Time Rates
Charged in:
- 15-minute increments (UK/UAE)
- 30-minute increments (EU/World)
7.4 Tolls & Congestion
The Client is responsible for:
- London Congestion Charge (£15)
- Ultra Low Emission Zone charges
- All local tolls, ferries and access fees
8. HOURLY BOOKINGS & DISTANCE
Hourly “As Directed” includes:
- 10 miles / 10 km per hour
- Additional mileage charged at LDN rates
Central London hourly rates apply only to:
W1, W2, WC1, WC2, SW1, SW3, SW5, SW7, SW10, EC1–EC4, N1, SE1.
Outside these postcodes:
→ Rates are 25%–50% higher.
9. NIGHT RATES, HOLIDAY RATES & EVENT PRICING
9.1 Night Rates
(22:00–07:00): +20% premium
9.2 Major Holidays / Events
100% increase applies during:
- Christmas Day
- New Year’s Eve
- New Year’s Day
Premium increases apply during:
- Christmas period
- Easter
- Local public holidays
- Major events
Clients will be notified in advance.
10. CANCELLATIONS & REFUNDS
10.1 Standard Bookings
- Cancel 24–12 hrs before: 50% charge
- Cancel under 12 hrs: 100% charge
10.2 No-Show
Failure to appear at the pickup point:
→ 100% non-refundable
10.3 Worldwide Bookings
Cancellation within 24 hours:
→ 100% chargeable
10.4 Wedding Bookings
- Within 3 months → deposit non-refundable
- Within 2 months → full amount chargeable
10.5 Close Protection / Security Personnel
All security bookings are NON-REFUNDABLE once confirmed.
11. SERVICE STANDARDS & LIABILITY
11.1 Punctuality
LDN strives for absolute punctuality but is not liable for delays caused by:
- road closures
- traffic
- weather
- policing/security events
- force majeure
11.2 Professional Conduct
Chauffeurs may refuse service if passengers:
- are intoxicated
- behave abusively
- pose safety risks
Penalty for non-compliance: £300
11.3 No Smoking
Smoking in vehicles is strictly prohibited.
Penalty: £300
11.4 Damage to Vehicles
Clients are liable for:
- repair costs
- valeting
- downtime
- loss of earnings
11.5 Lost Property
LDNChauffeur maintains a lost property log.
All belongings are transported at owner’s risk.
11.6 Subcontractors
LDNChauffeur Worldwide may use trusted global affiliates.
LDNChauffeur Worldwide is not responsible for delays caused by these affiliates but remains contractually responsible to the Client (UK law requirement).
12. WEBSITE COOKIES, PRIVACY & DATA USE
We follow UK GDPR and Data Protection Act 2018.
We may collect:
- name, phone, email
- IP address
- booking details
- browsing behaviour
Data is used only for:
- processing bookings
- customer support
- operational dispatch
- anti-fraud measures
- legal compliance
We never sell data to third parties.

13. LIABILITY DISCLAIMER
To the maximum extent permitted by UK law:
- LDNChauffeur is not liable for indirect or consequential losses
- LDNChauffeur is not liable for loss of flights, missed appointments or financial losses caused by delays outside our control
- LDNChauffeur is liable only for direct losses up to the value of the booking
Nothing excludes liability for death or personal injury caused by negligence.
14. GOVERNING LAW & JURISDICTION
These Terms are governed by the laws of England and Wales.
Disputes shall be resolved exclusively in the courts of England and Wales.
ADDENDUM A – United Arab Emirates (UAE)
Applies to all bookings fulfilled in Dubai, Abu Dhabi, and other UAE emirates
This Addendum supplements the LDNChauffeur Worldwide Terms & Conditions where UAE law, licensing or operational practice differs from the UK.
1. Licensing & Regulatory Compliance
Services in the UAE are delivered by:
LDNChauffeur Worldwide’s UAE partners licensed under RTA (Dubai), ITC (Abu Dhabi), or other relevant emirate authorities.
LDNChauffeur Worldwide acts as the coordinating operator; local licensed providers fulfil the journey.
We are not permitted to provide unlicensed vehicles or chauffeurs under UAE law.
2. Pricing, VAT & Local Charges
UAE transportation services are subject to 0% VAT unless local tax guidance changes.
Certain emirates may apply additional fees (airport, toll gates such as SALIK, hotel access fees, event surcharges). These will be charged as Additional Charges.
SALIK gates are charged per crossing and passed through at cost.
3. Chauffeur Conduct & Dress Code
UAE chauffeurs follow strict local standards:
Mandatory business attire
Prohibition of any behaviour considered offensive under UAE cultural norms
Zero tolerance for alcohol consumption by passengers in public areas or in violation of local law
Passengers must respect UAE laws at all times.
4. Customer Conduct & Local Restrictions
Customers must comply with UAE public morality and security laws.
This includes:
No intoxicated passengers in public spaces where prohibited
No alcohol transported without correct authorisation (if required)
No photography of government buildings or restricted areas
No behaviour that may be considered disrespectful, disorderly or disruptive
Chauffeurs may refuse service if the passenger’s conduct risks violating local laws.
5. Waiting Time & Airport Procedures
Airports in the UAE (DXB, DWC, AUH) impose strict parking limits.
As such:
A standard 45–60 minute included waiting time is typical (depending on class of service).
Excess waiting time may require the chauffeur to exit and re-enter parking, which is chargeable.
6. Cancellation Terms – UAE
Due to high demand and limited vehicle supply in peak periods:
Less than 12 hours’ cancellation: 100% charge
Peak dates (events, conferences, NYE): 24 hours–7 days cancellation may incur 100%
Chauffeur positioning charges may apply if dispatched before cancellation
These override UK terms where conflicting.
7. Liability
LDNChauffeur Worldwide coordinates UAE services; fulfilment is conducted by licensed local providers.
Liability is limited to the maximum permitted under UAE law.
ADDENDUM B – Poland
Applies to all bookings fulfilled in Warsaw, Kraków, and other Polish cities
This addendum reflects operational norms and local legal requirements in Poland.
1. Licensing & Local Operators
All Polish chauffeur services are delivered by licensed local partners compliant with:
Polish Road Transport Act
Local municipal licensing rules
EU Passenger Transport Regulations
LDNChauffeur Worldwide acts as the contracting operator and retains responsibility for customer care and billing.
2. Pricing, Taxes & Currency
Polish services may be priced in PLN, EUR, GBP, or USD.
VAT on passenger transport in Poland is typically 8%, unless exemptions apply.
All tolls, motorway fees and parking costs are billed as Additional Charges.
Currency fluctuations may affect quotations unless pricing is agreed in PLN.
3. Weather & Seasonal Considerations
Winter conditions (snow, ice, storms) can cause delays.
Customers must allow sufficient time when travelling in December–March.
LDNChauffeur Worldwide is not liable for delays caused by severe weather or road closures.
4. Chauffeur Standards
Polish chauffeurs uphold European service standards but may differ slightly from UK norms:
Business attire as standard
Local-language communication is normal; English-speaking chauffeurs provided when available
Legal maximum driving hours may constrain long-distance journeys
5. Cancellation Terms – Poland
Depending on city and vehicle type:
Less than 12 hours: 100% charge
Large events, multi-vehicle bookings: 24–72 hours may be required
Long-distance intercity journeys: non-refundable once dispatched
These override UK timing where inconsistent.
6. Limitation of Liability
Polish regulations govern insurance levels and passenger protection.
LDNChauffeur Worldwide limits liability in accordance with Polish law for all services performed there.
ADDENDUM C – United States (For U.S. Affiliates)
Applies to all bookings performed in the United States through LDNChauffeur Worldwide’s affiliate network
This addendum is essential because U.S. legal and commercial structures differ significantly from the UK/EU.
1. Operator Status
LDNChauffeur Worldwide acts as the contracting principal for the booking.
Affiliates in the U.S. act as independent operators and fulfil the service.
Customers must not contract directly with the U.S. operator unless expressly authorised by LDNChauffeur Worldwide.
2. Licensing
All U.S. affiliates must:
Hold valid TCP/Livery/For-Hire permits as required by state law
Maintain commercial insurance meeting state minimum requirements
Ensure chauffeur background checks and drug screening (required in many jurisdictions)
3. Pricing, Surcharges & Taxes
The U.S. incorporates additional cost categories not used in Europe:
State excise taxes
Airport fees & port authority fees
Fuel surcharges (varies by state)
Driver duty-hour surcharges
Event/surge multipliers (Super Bowl, UNGA, NYE, major conventions)
These are always passed through as Additional Charges.
4. Tipping
In the U.S., chauffeur gratuities are standard.
Unless otherwise stated:
A 20% chauffeur gratuity may be added to the quotation or invoice.
Additional tipping is at Customer discretion.
This aligns your policy with U.S. operator norms and avoids dispute.
5. Cancellation Terms – United States
U.S. cancellation windows differ by state and by operator:
Sedans & SUVs:
< 12 hours: 100% charge
Sprinter vans / Executive minibuses:
< 48 hours: 100% charge
Coaches:
< 7–30 days: 100% charge
During high-demand periods (Super Bowl, CES, UNGA, Art Basel, etc.), cancellations may be non-refundable once booked.
6. Liability & Jurisdiction
U.S. affiliate operators carry primary liability for operational performance under their state regulations.
LDNChauffeur Worldwide remains responsible for booking administration, payment processing and customer service.
Liability is limited to the fullest extent allowed under U.S. state law, which can vary significantly.

What information do we collect?
We collect information from you when you place an order, fill out a form or make a payment.
When contacting us on the phone, we may record your call for training and quality control purposes.
When contacting us from this site you may be asked to enter your name, e-mail address or phone number as appropriate. You may, however, visit our site anonymously.
For placing orders online we require you to use our booking engine. We implement a variety of security measures to maintain the safety of your personal information when you place an order:
• Our booking site is a secure server. All supplied sensitive/credit information is transmitted via Secure Socket Layer (SSL) technology. This is then encrypted into our payment gateway provider’s database, it is only to be accessible by those authorized with special access rights to such systems, and who are required to keep the information confidential.
• After a transaction, sensitive private information (social security numbers, financials, etc.) will not be stored on our servers.

Any of the information we collect from you may be used to:
• Improve customer service. Your information helps us to more effectively respond to your customer service requests and support needs.

For example, this may be to comply with the law, enforce our site policies, or protect ours or others rights, property, or safety. However, non-personally identifiable visitor information may be provided to other parties for marketing, advertising, or other uses.
Retention Policy
LDNChauffeur will no longer be holding data which we have not gained contractual obligations for after 30 days, depending on the sensitivity of this data, it will be deleted instantly. Ranks of sensitivity will be outlined below, as well as some exceptions where data may be held longer lawfully.
Where personal data is held
LDNChauffeur holds personal data in a few different locations, these can include: Our own database servers, email accounts, desktops, employee-owned devices, paper files and backup storage.
Procedures in place for deletion
Accounts-related data that is processed via our two database servers are subject to a 90-day non-usage review of the account, followed up by a 6-month review before the erasure or separation of any personal or sensitive data. Also upon request by the authorised account holder data will be deleted from both database servers within 30 days of the request followed up by a privacy notification and confirmation of the deletion. This can be done by contacting the DPO at LDNChauffeur on 020 3588 7000 or email info@ldnchauffeur.co.uk
Data processed via email are subject to the Apple Software on-board retention policy, this includes the purging of unfiled mail after 30 days.
Employee and mobile users including sub-processors who process data on behalf of our company are subject to a systematic 30 days deletion policy after the completion of a contractual obligation. This is achieved via our Dever Software which is downloaded onto mobile devices. Onboard encryption is also enabled on all our mobile devices which are set to delete all information on the device after multiple failed password attempts.
Exceptions where data may be held longer than our 30-day retention period
Financial data stored on our accounts server or stored as hard copies are held for up to 7 years before disposal due to TAX and VAT legalities.
Ranks of sensitive data – Different retention periods
Security criticality of sensitive or personal data which we process will be described and provided for in section 3.1 below, this policy contains requirements for the deletion of any data we process either personal or sensitive ranked ‘low’, ‘medium’ and ‘high’.
System data ranking
• 1 – High – For the requirement of our business and the completion of contractual obligations with our clients it is very important to us that any financial data we store or process for or on behalf of our clients is subject to immediate tokenisation/masking of card details which include CVV/CVV2 information, card number and expiration date. However, if data is to be processed as a one-off request this data will be deleted after processing with immediate effect unless contractual consent is gained.
• 2 – Medium – Account data which may include but not limited to personal data and goods or services provided will be subject to regular review of the data stored for the purpose of maintaining account records. This data allows us to complete our contractual agreements and can include but is not limited to the client’s name, address and contact details. Upon request by the authorised account holder, this data can be deleted from our systems within 30 days of the request.
• 3 – Low – Sensitive classes of information that may include physical or mental health issues, racial or ethnic origin, religious or other beliefs of a similar nature and trade union memberships are stored for legalities but are not processed. We do not use profiling or automated decision-making systems as a part of our company policies. Deletion of this data is subject to but not limited to either upon request or legal obligations.
Your rights as a data subject
We have a robust process for dealing with customer queries and a subject access request is in place, this includes but not limited to the right to withdraw any processing of your personal data and to remove any personal or sensitive data. Our consumer query process is also used to monitor our customers, our data partner and our product/processes. Root cause analysis is applied to every enquiry, allowing us to identify if further action is required.
Your right to request from the controller restriction of processing of personal data can be applied upon request by the authorised account holder.
You have a right to lodge a complaint with a supervisory authority in regards to how your information has been handled. Please contact the Information Commissioner’s Office (ICO).

Client account data is stored in SQL tablespaces & data file formats which can be exported into either a Microsoft excel spreadsheet or Adobe PDF which is then encrypted with a password before sending out electronically. Immediate access to account details is available to clients with web access to our online booking platform which allows the client to update or change the account records, this functionality is secured using a Secure Socket Layer (SSL).
Children Online Privacy Protection Act Compliance
We are in compliance with the requirements of COPPA (Children's Online Privacy Protection Act). We do not collect any information from anyone under 13 years of age. Our website, products and services are all directed to people at least 13 years old or older.
